Personal AI assistant: tasks and limits

A personal AI assistant is useful when it reliably supports a recurring task. Start with a manageable workflow. These examples describe possible project scopes; which functions are feasible depends on your tools, permissions and operating environment.

1. Prepare messages for you

Example: each morning, the assistant summarises selected messages and drafts replies to scheduling questions. It receives access to the approved mailboxes or folders. The summary links to the original messages so you can check the details. Initially, you approve reply drafts; a read message is not automatically an answered message.

2. Organise appointments and daily plans

Example: approved calendars and your task list provide a daily overview of open items and scheduling conflicts. The assistant can suggest time slots. Permission to create or move appointments is defined separately. Missing calendar data and time zones need to be considered before confirming a suggestion.

3. Set limits for background tasks

An agent that runs regularly needs a schedule, a defined scope and a way to handle errors. Agree when it should notify you and when it should stop or ask for help. Sending messages, cancelling appointments and spending money require different permissions from reading information. Access should be revocable; do not include credentials in a public enquiry.
