Which workflows can be automated with AI?

A useful starting point is a recurring task with a clear outcome. For example: categorise incoming enquiries, prepare information from documents or draft replies. The goal is to build a workflow you can check, rather than automate as much as possible.

1. Fixed rules or AI?

A fixed data import or clear if-then rule often does not need AI. AI may help when you need to summarise text, categorise content or work with varying wording. First check whether a simple integration or rule already solves the task.

2. Check prerequisites

Describe the input, processing and desired output. Check whether the required data is accessible and your programs provide suitable interfaces. Define which information may be used, who receives the result and when a person must take over.

3. Test routine and difficult cases

AI can produce incorrect or incomplete results. Test more than simple examples: include missing information, conflicting documents and unusual enquiries. Uncertain results need a defined fallback: ask for clarification, refer for review or stop the action.

Define these before the pilot

  • One task and a measurable goal, such as handling time or the number of corrections.
  • Permitted data sources and access.
  • Approvals for sending, publishing or changes in other systems.
  • Owners for errors, maintenance and further development.

Compare total effort with the current workflow: processing, review, corrections and operation. Faster text generation alone does not tell you whether automation is useful overall.
